This policy applies to the DG Cricket website and the custom 1-to-1 coaching booking system. Regular academy classes are booked through Class4Kids, which operates its own service and privacy information.

1. Who we are

DG Cricket Ltd is the controller responsible for the personal information described in this policy. Questions about privacy or requests concerning personal information can be sent to info@dgcricket.com.

2. Information we collect

When a parent or guardian requests a 1-to-1 session, DG Cricket collects:

  • the parent or guardian’s name, email address and telephone number;
  • the player’s name, age and playing level;
  • optional coaching-focus notes supplied with the request;
  • booking details, status, venue, session time and payment status; and
  • messages, feedback or other information sent directly to DG Cricket.

The website hosting provider may also process basic technical and security information, such as IP address, request time, browser details and diagnostic logs, to deliver and protect the service.

3. Children’s names and ages

The 1-to-1 form is for a parent or guardian to complete.

DG Cricket asks only for the player information needed to assess and organise appropriate coaching. Children do not create accounts and DG Cricket does not use children’s information for direct marketing.

A player’s name and age help DG Cricket identify the booking, plan age-appropriate coaching, communicate with the responsible adult and meet safeguarding responsibilities. Please do not put detailed medical information in the coaching-focus box. Contact DG Cricket directly where adjustments or additional support need to be discussed.

3a. Customer accounts

A parent or guardian may create an optional DG Cricket account to save their contact details and their players’ details so future bookings can be completed more quickly. Accounts are for adults only — children do not create accounts. Saved information includes the account holder’s name, email address and phone number, emergency contact details, and each player’s name, age and any coaching aims or medical information the parent chooses to store.

Medical information is stored only where a parent or guardian provides it, is used solely to keep the player safe during coaching, is visible only to the account holder and DG Cricket, and can be edited or removed at any time from the account area. Creating an account is never required in order to book — every session can still be booked as a guest. An account and its saved player records can be deleted on request by emailing info@dgcricket.com.

4. How and why we use information

DG Cricket uses personal information to:

  • respond to and administer booking requests;
  • operate optional customer accounts and pre-fill saved booking details;
  • confirm, change or cancel sessions and send service messages;
  • prepare suitable coaching and maintain safe participation;
  • take payment, keep business records and resolve queries;
  • prevent spam, misuse and security incidents; and
  • meet legal, regulatory and safeguarding obligations.

The main lawful bases are taking steps to provide the requested service and performing the booking agreement, DG Cricket’s legitimate interests in running and protecting its coaching service, and compliance with legal obligations. Where the law requires consent for a separate activity, consent will be requested specifically and can be withdrawn.

5. Who information may be shared with

Information is shared only where needed with service providers that support the website and communications, including Cloudflare for website hosting, security and the D1 booking database, and the configured email-delivery provider for booking messages. It may also be shared with a relevant venue, professional adviser, insurer, regulator, law-enforcement body or safeguarding authority where necessary and lawful.

DG Cricket does not sell personal information. Some technology providers may process information outside the UK. Where this occurs, DG Cricket relies on the provider’s applicable contractual and legal safeguards.

6. Cookies

The public booking journey does not use advertising or marketing cookies. The admin area uses an essential, secure session cookie after an authorised administrator signs in. Hosting and security services may use strictly necessary technologies to operate and protect the website.

7. How long information is kept

Information is kept only for as long as it is needed for the purpose collected. Unsuccessful or cancelled booking enquiries are normally reviewed for deletion after 24 months. Confirmed booking and payment records may be retained for up to six years after the relevant financial year where needed for tax, accounting, insurance or legal purposes. Safeguarding records, if any, are handled separately and retained only for as long as required by applicable safeguarding guidance and law.

8. Security

DG Cricket uses access controls, prepared database statements, secure administrator sessions and reputable hosting providers. No online service can guarantee absolute security, but reasonable technical and organisational measures are used to reduce risk.

9. Your data-protection rights

Depending on the circumstances, individuals may have rights to be informed, access personal information, correct inaccurate information, request erasure or restriction, object to processing, and receive certain information in a portable format. A parent or guardian may make an appropriate request on behalf of a child. Identity or authority may need to be verified before information is released or changed.

10. Contact and complaints

Contact info@dgcricket.com with a privacy question, rights request or complaint. DG Cricket will provide a clear route for complaints and aims to acknowledge a data-protection complaint within 30 days.

You also have the right to complain to the UK Information Commissioner’s Office. Current contact and complaint options are available at ico.org.uk.

11. Changes to this policy

This policy may be updated when services, providers or legal requirements change. The date at the top shows the latest revision.
